The Technology Group and Human Resources Support Services are internal functions providing global operations and business supports across Brookfield Asset Management business segments.

Position Summary
The Administrative Assistant will be reporting directly into Manager. The Administrative Assistant will be responsible for providing general administrative support to TSG Vice President - Legal & Technology Vendor Governance and Vice President - HR Support Services and their respective teams.

Responsibilities
  • Manage calendar invites and meeting setup, including invitee coordination, room and conference or video setup and catering requests
  • Assist with planning team events (lunch and learns, staff functions, meeting materials, etc.)
  • Provide administrative support including filing, correspondence, printing and scanning documents
  • Manage desktop publishing assignments including reports, memos, agendas, presentations and other documents using Microsoft Office suite of applications
  • Provide phone coverage and retrieve voicemails as needed
  • Review and submit expense reports
  • Assist with monthly and annual budget review
  • Coordinate business travel arrangements, to include preparing custom itineraries, travel logistics, meeting schedules
  • Prepare outgoing mail package
  • Coordinate visitor access, including badge requests, greeting business guests and directing to meeting rooms as appropriate
  • Assist with the management and maintenance of the applicable SharePoint workspaces and communities
  • Order stationary and office supplies as needed
  • Other duties and responsibilities as determined from time to time by the VPs
 
Qualifications & Requirements
  • Minimum certificate, degree, or diploma from an accredited institution
  • Minimum of 2 years of general office experience
  • Minimum of 1 year in an administrative support role (supporting multiple departments an asset)
  • Years working experience in a specific function
  • Ability to learn quickly
  • Meticulous attention to details
  • Strong organizational skills
  • Strong communication (oral and written) and interpersonal skills
  • Strong time management skills
  • Ability to work under pressure, multi-task and meet tight deadlines
  • Ability to work independently, as well as in a group with other colleagues
  • Build effective & productive working relationships across service groups
